Arkansas River Double Haul Committee Responsibilities

Event Planning: Friday
Responsible for Planning and organizing the Friday night Sponsors Dinner, and the Saturday night public dinner. Including: Meals and catering, program, format, ticket distribution and accounting, layout and beverage service.

Celebrity Co-ordination
Responsible for all communication with the assigned celebrities from the time of their commitment to attend to their departure, Including: lodging coordination, local event transportation, and special services. Making sure that the celebrity know the event time schedule, and the role that they will be playing. There will be three people assigned to this function, each will have 3 or 4 celebrities assigned.

Key function, responsible for the creation and maintenance of our www site, as well as the creation and printing of all official printed media Including, hand bills, Media Kit, Posters, Letterhead and envelopes.

o Creation of Press Releases to the Media for the event.
This committee is responsible for creating the ads that will be placed in magazines and newspapers, along with a schedule for the placement of these ads. It will also be responsible for distributing the brochures in Fly Shops, Motels, Restaurants, and retail locations in Chaffee County and the front range.

Fundraising co-ordination
Assist Board and committee members in the recruitment of Platinum, Gold and Sliver Sponsors for the event.

Sponsor Management
Once recruited, this committee will be the primary contact for assigned sponsors. They will make sure that the sponsor fees are collected, and that the sponsors are up to speed on the progress of the event during the planning period and the weekend of the event. There will be two committee heads each with 6-10 sponsors to manage.

Boat Seat Auction and Saturday Night Auctions
This committee will be responsible for designing , planning and executing the on line auction to be held for the second seats, ie fishing with the celebrities. They will also be responsible for coordinating the celebrity auction of the rods used in the event, the silent auctions and live auctions the night of the Public Dinner.

Lodging and Facilities
Responsible for recruiting the bed and breakfast lodging for our Celebrity guests, preferably one B&B for each celebrity The committee will also assig the celebrity to a donated B&B. Also responsible for working with the Event Planning Committee to acquire the venues for the Friday and Saturday Night events, and once acquired for managing the physical aspects of the venue, ie Chairs, tables, sound system, stage, both setup and take down.

Fishing Event
This committee will be responsible for recruiting the ten guides and boats for the fishing event on Saturday. They will also obtain the necessary permits, and permissions for the event. A back up plan in case of low water needs to be created, either walk wade or private lake fishing. The committee will also be responsible for the Friday night pairing of the guides with the Celebrity –Guest team, and the assigning of a start time and venue for the Saturday fishing program. The committee may also encourage challenges (Bets) between the teams, the looser paying the bets to the Charity Event at Saturday Night’s dinner.
